Exporting invoices, receipts and spreadsheets
Download your invoices and receipts as PDF, or your orders, statistics and customers as an Excel-compatible CSV spreadsheet, by store, period and filters.
The Exports page (administrator account only) brings together two kinds of export: PDF documents, one per order, bundled in a ZIP archive (your receipts, or your invoices in A4 format), and spreadsheet files in CSV format that open directly in Excel (your orders, your statistics or your customers). It is the tool for your monthly bookkeeping, for sending your figures to your accountant, or for a customer who asks for their invoice.
Choosing the export type
Export type is split into two groups:
- PDF documents (ZIP): Invoices (default) or Receipts;
- Spreadsheet (Excel-compatible CSV): Orders, Statistics or Customers.
Below the options, a short sentence reminds you what the selected type contains.
Invoice or receipt?
- The Receipt is the 80 mm till receipt, identical to the one printed from Live and sent to the customer: items, variants and options, discounts, tax by rate, total, payment method, notes and delivery address.
- The Invoice is a numbered A4 document (FAC-year-order number), with the store header, a “Billed to” block, a Description / Quantity / Unit price / Amount table and the same summary.
Amounts, tax and discounts are identical in both; only the layout differs.
What the spreadsheet files contain
Orders: one row per order in the period, cancelled orders included with their status. Columns: date, order number, store, service mode, table, timing, scheduled time, status, payment status, payment method, customer, email, phone, number of items, subtotal, discounts (promotions), promo code, rewards (loyalty, referral, welcome), delivery fee, tax, deposit, tip, price adjustment, total, refunded amount and driver (or the on-demand courier who made the delivery).
Statistics: a single file split into sections, cancelled orders excluded:
- a Summary: orders, revenue, average basket, discounts and rewards, delivery fees, tax, tips, unique customers and orders without a customer account;
- revenue and number of orders per day;
- sales per product (quantity and gross revenue, before discounts);
- the breakdown per service mode, per payment method and per store, with the share of revenue;
- peak hours and the breakdown per day of the week.
Customers: all your registered customers, with the information already visible on the Customers page (first name, last name, email, phone, city, status, registration date, marketing consent), plus number of orders, total spent, average basket, date of last order and loyalty points. This export covers the full history: it ignores the period and the filters.
Choosing the period and filters
- Stores: all ticked by default; at least one is required.
- Period: Date range (start and end date) or By month (month and year). With a date range, the period is limited to 60 days for PDFs (“Maximum 60 days”) and to one year for the Orders and Statistics exports (“One year maximum”); beyond that, the button greys out. For a monthly export, “By month” is the simplest.
- Payment method and Order type: tick what you want to keep. If no box is ticked, everything is included (the line “All payment methods will be included” reminds you).
- Customer: the Select a customer button opens a search by name, email or phone to export only that customer’s orders.
These filters apply to PDFs and to the Orders and Statistics exports. The Customers export ignores them.
The period overview
The right-hand column updates with every filter change: number of orders, revenue, average basket and a revenue-per-day chart. If the period contains no order, “No orders in this period” appears and there is nothing to export. For the Customers export, the overview simply reminds you that the file covers the full history of the Customers page.
Downloading the PDFs (ZIP)
Click Download ZIP. The progress bar reads “Processing 12 / 340”: the PDFs are generated in your browser, so keep the tab open until the “Export complete” message. An export of several hundred orders takes a few moments.
In the archive, each file is named FAC-2026-XXXX.pdf or TICKET-XXXX.pdf (XXXX = order number). Good to know:
- cancelled orders are included, with a “CANCELLED” banner and no payment block;
- test orders never are;
- amounts include tax, with tax detailed by rate;
- the period is based on the order date.
Downloading the spreadsheet (CSV)
Click Download CSV. The number of rows loaded is shown while the file is prepared, followed by the message “Export complete, the CSV file has been downloaded”. The file opens in Excel with a double click, with no import step:
- it is encoded in UTF-8, so accented characters display correctly;
- the separator follows your country’s number format: a comma when the decimal separator is a point (as in the UK or the US), a semicolon when it is a comma; amounts are written without thousands separators, so that Excel reads them as numbers;
- dates use the YYYY-MM-DD HH:mm format, in the store’s local time;
- column headers are in the language of your interface;
- a value starting with +, =, - or @ is preceded by an apostrophe: a phone number
+44 7700 900123therefore appears as'+44 7700 900123. This protects against malicious formulas by stopping Excel from treating the content as a calculation.
Exporting from the Analytics page
The Export (CSV) button on the Analytics page downloads the Statistics file straight away, for the period and store shown on screen. It is the quickest option when you are already looking at your figures.
Legal details come from the store
Legal name, address, tax identifiers, VAT number, receipt header and footer text: all of this comes from the legal information of each store (Stores page, Legal information step). If something is missing on your PDFs, complete the store profile, not the export page.
Do not confuse these with your own XPRIO subscription invoices, which are downloaded from the Subscription page.
